AHNS Survey Policy for Investigators
Guidance, Application, Explanation of Review Process
AHNS Philosophy
- Surveys originating from AHNS should be questions of interest to AHNS
- Surveys should be brief and not overburden the membership, should be able to completed in 15 mins or less
- AHNS review and permission to distribute surveys to members does not indicate endorsement by AHNS of that survey.
Survey Development and Distribution Process
- Surveys require sponsorship of an AHNS member.
- Surveys being administered for the purposes of scientific publication require IRB approval from the investigator’s local institution.
- Surveys must be approved by the AHNS Survey Task Force. The survey will be reviewed by members of the Task Force, with the survey review group responsible for the initial evaluation of the survey and providing feedback for revisions if needed.
- AHNS strongly recommends surveys be designed for distribution using a web-based format, to be determined and managed by the investigator.
- AHNS will distribute the invitation to take the survey to the membership upon approval of the survey by the AHNS Survey Task Force.
- Survey invitations may be sent a maximum of three times.
- The survey review process is as follows:
- Survey reviews occur twice a year. Submission deadlines are August 15th, and February 15.
- Surveys will be reviewed over the month after the submission deadline.
- Completed approved surveys will proceed to distribution, with the earliest approved and then earliest submitted surveys proceeding first.
- Approximately 3-4 surveys will be approved for distribution every six month review block, with distribution staggered over the six months.
- Approved surveys will be distributed upon receipt of a fee determined by the AHNS council. All fees may be waived for surveys created for AHNS purposes (for example, to support committee work).
- Any publication resulting from the use of the AHNS membership list must have a disclaimer stating the following:
- The views expressed herein do not necessarily represent the views of the AHNS.
- A written report of the survey results is required to be submitted to the Survey Task Force and to the Executive Committee within 12 months of distribution of the survey and prior to publication (see form at back page).
Best practices for survey design
- Surveys are more likely to be approved after first review if they have been well pilot-tested.
- Advice from an experienced survey researcher is recommended.
- The hypothesis to be tested by the survey should be clearly stated, original, and of significant importance to the field of head and neck oncology.
- Survey instruments should be validated if possible to answer the proposed research question.
- Instruments not using previously validated questions should be extensively pilot-tested with potential users to ensure questions are at minimum both clear and have internal/external validity.
- Surveys should be concise. Every question should serve a purpose for the study.
